About the Role
Our client, a well-established engineering company, is seeking a highly capable and confident Executive Assistant to provide direct support to the Director and oversee the effective running of the office. This is a multifunctional and hands-on role suited to an individual with a strong personality, excellent leadership ability, and the drive to take ownership of daily operations. The ideal candidate is reliable, solutions-focused, and committed to growing with the business in the long term.
Key Responsibilities
Executive Support
- Manage the Director’s diary, schedule meetings, and handle daily communications.
- Prepare reports, documentation, presentations, and meeting notes.
- Coordinate travel, appointments, and event logistics as required.
Office Management
- Oversee office operations, maintenance, and supplies.
- Ensure a professional and well-structured working environment.
- Liaise with service providers, vendors, and external stakeholders.
Human Resources Administration
- Assist with recruitment processes (scheduling interviews, reference checks, onboarding).
- Maintain employee records and leave schedules.
- Support staff policies, training coordination, and basic performance admin.
- Act as a point of contact for staff queries and help maintain a positive workplace culture.
Staff Coordination & Leadership
- Manage and supervise staff where required.
- Ensure team accountability, workflow efficiency, and professional conduct.
- Support implementation of operational procedures and company standards.
Basic Finance Administration
- Capture invoices, reconcile expense reports, and support creditors/debtors processes.
- Assist in compiling monthly finance reports and liaising with the accounting service provider.
- Monitor budgets and cost controls where needed.
Requirements
- Minimum 5 years’ experience in a similar Executive Assistant / Office Manager role.
- Prior exposure to engineering, technical, construction or manufacturing environment advantageous.
- Strong administrative and organisational skills with the ability to work independently.
- Confident communicator who can assertively manage staff and workflows.
- Proficient in MS Office Suite (Excel, Word, Outlook).
- Strong attention to detail and ability to handle confidential information.
- Reliable, stable work history and commitment to long-term growth within the business.
