About the Role

The Administrator role is an essential part of our operations, providing comprehensive administrative support to ensure the smooth running of our business. As a key member of our team, you will be responsible for processing supplier invoices, maintaining accurate records, and supporting our special works team through contract administration and procurement.

Key Responsibilities

  • Process all supplier invoices through Construction Manager on a daily basis.
  • Update sub-contractor insurances and maintain records to request renewals prior to expiration.
  • Maintain the training register and organize training courses for staff when required.
  • Update ConstructionLine, SafeContractor, Avetta, and other systems to ensure ongoing accreditation.
  • Manage the setup of new customers and suppliers on Construction Manager and Sage.
  • Coordinate with Project Managers for invoice approvals and investigate staff issues with Eque2.
  • Prepare documentation for annual audits and complete new customer health and safety forms.
  • Raise purchase orders, permits, and invoices for the special works team.

About the Role

The in-house administrator / personal assistant (PA) plays a vital role in supporting the head office and management team, ensuring smooth daily operations through efficient administrative and organisational support.

Key Responsibilities

  • Manage and organise all administrative activities within head office
  • Draft, proof read and send professional emails and other correspondents
  • Maintain accurate filing systems for invoices, contracts & internal documents
  • Schedule meetings, manage calendars and assist with travel arrangements where needed
  • Prepare reports, letters and presentations as requested by management
  • Communicate with branches, suppliers and clients on behalf of the management team
  • Support HR and accounting teams with document collection, record updates and basic data entry

About the Role

The Administrator role is a vital part of our team, responsible for ensuring the smooth day-to-day operations of our business. As an Administrator in Cape Town City Centre, you will play a key role in assisting with debtors and creditors, processing stock and orders, and maintaining accurate records.

Key Responsibilities

  • Assist with payment allocations on debtors receipts
  • Assist with debtors reconciliations and account queries
  • Ensure credit notes are banking timeously
  • Confirm EFT and cheque payments from customers with Head Office before the release of goods
  • Creditors:
  • Ensure supplier delivery notes and GRVs are sent to Head Office
  • Process on ERP system
  • Receive POD from warehouse to confirm goods arrived
  • Query any discrepancies with the warehouse or DC
  • Stock checks to be done on a weekly basis
  • Processing of GRVs for all incoming stock both imported and local
  • Liaising with suppliers and internal communication for all local stock required
  • Import stock count into system
  • Process replacement for warranty claims
  • Order stationery stock as needed and do a stock check on a weekly basis
  • Send through business expense reimbursement forms and supporting docs to Head Office
  • Setting up and maintaining systems and procedures
  • Filing Petty Cash Control
  • Control petty cash disbursements
  • Reconcile petty cash POD control
  • Answering of phones and reception of customers/guests
  • Manage credit applications
