Job Description
A well-established, owner-run business supplying quality goods to both retail and trade clients. The operation combines production, sales, and distribution under one roof and is now looking for someone hands-on and detail-focused to help tighten financial controls and bring structure to stock management. Its a practical, grounded environment where accuracy, reliability, and initiative are valued more than corporate formality.
ROLE OVERVIEW:This role combines finance support with stock management oversight. Youll handle bookkeeping duties, assist the Finance Manager with daily financial administration, and take ownership of ensuring the stock we see on the system matches whats in the freezer and production areas. Youll help set up a proper stock system, monitor movements, and work with management to identify variances, wastage, and losses. The right person will be handson not afraid to step into the cold room, check quantities, and make sure everything ties up with the books. The goal is to build a system that gives management accurate, real-time visibility into stock levels and costs linking finance, production, and sales through HERO Point of Sale (SQL-based).
KEY RESPONSIBILITIES:
Finance Support
- Assist the Finance Manager with bookkeeping, reconciliations, and month-end close.
- Process supplier invoices, payments, and reconciliations.
- Maintain accurate financial records and assist with management reports.
- Track expenses and assist in analysing stock-related losses and costing variances.
Stock Control & Systems
- Physically check stock in cold rooms, freezers, and production areas.
- Capture and update stock accurately on HERO Point of Sale.
- Work with the owner and Finance Manager to implement and refine a stock control system.
- Record and investigate stock variances, wastage, and losses.
- Ensure correct stock movement between production, storage, and sales.
- Support costing, pricing, and margin analysis.
Reporting & Process Improvement
- Assist in linking stock data to financial reporting.
- Help build a database that gives management visibility over inventory levels, costs, and variances.
- Recommend practical solutions for stock accuracy, cost control, and operational efficiency.
Requirements
Requirements
- 2-3 years experience in bookkeeping, finance administration, or stock control
- Proficient in Excel and general accounting software eg Sage, Pastel, Xero.
- Strong attention to detail, integrity, and accountability.
- Hands-on attitude willing to check stock physically and follow through until numbers balance.
- Comfortable working in a small, owner-run business.
