A repeatable process for genuine vacancies

A Practical Hiring Checklist for South African Employers

Good hiring starts with a real need, a clear decision process and respectful communication. The checklist below supports recruitment operations; it is not legal advice for a particular appointment.

Define the outcome

Write the first six to twelve months of expected results, reporting line, working arrangement, location, hours and realistic remuneration approach. Remove requirements that do not affect performance.

Publish a complete advert

State the role, employer or authorised recruiter, location or remote arrangement, material requirements, application method and closing approach. Do not hide commission-only terms, required travel, shifts or a fixed-term arrangement. Never charge applicants.

Use a consistent shortlist

Set criteria before reviewing people. Record job-related reasons and provide reasonable accommodation in the process where required. Protect CVs and do not circulate them beyond people involved in the decision.

Interview for evidence

Ask comparable core questions, explain the role honestly and let candidates ask questions. Use lawful checks that are relevant, proportionate and properly authorised. Do not promise an offer before approvals are complete.

Close the loop

Send the written offer and material terms, record acceptance, complete lawful onboarding and notify unsuccessful candidates when practical. Close or expire the public vacancy so applicants are not sent to dead opportunities.
