Key Responsibilities

  • Establish and manage the PMO function across all active projects.
  • Review and manage contracts ensuring compliance and risk mitigation.
  • Drive monthly valuation (PV) submissions with full supporting documentation.
  • Ensure timely certification and invoicing to optimize cash flow.
  • Manage and track variations (VOs), approvals, and recoveries.
  • Implement standard templates (PVs, Proformas, BOQs, WAS, POR).
  • Oversee project reporting including programmes, meeting minutes, and progress reports.
  • Ensure cost tracking and budget alignment across all projects.
  • Support Project Managers and intervene where performance gaps exist.
  • Drive project close-out processes including COCs, inspections, snags, and final accounts.
  • Ensure retention recovery and final account closure.
  • Train PMs and staff on PMO processes and systems (e.g. CANDY, Excel, Pastel).

Key Performance Indicators (KPIs)

  • 95%+ on-time submission of monthly PVs.
  • 90%+ certification rate of submitted valuations.
  • Invoices issued within 5 days of certification.
  • Cash collection within contractual terms.
  • 80%+ variation approval rate.
  • Zero variations outstanding beyond 30 days.
  • Projects tracked monthly against budget (100%).
  • Final accounts closed within 60-90 days of project completion.
  • 100% compliance with PMO templates and reporting standards.
  • Weekly reporting compliance above 95%.
  • Retention recovery within contractual timelines.
