Job Description

Job Title: Sales & Functions Coordinator Location: The Venue Reports to: General Manager / Sales Manager Role Overview The Sales & Functions Coordinator plays a pivotal role in driving revenue and delivering exceptional event experiences at The Venue. This position is responsible for generating new business, managing client relationships, coordinating events from enquiry through to execution, and ensuring seamless communication between clients and internal teams. This role requires a dynamic, detail-oriented individual who thrives in a fast-paced hospitality environment and is passionate about sales, service excellence, and creating memorable experiences. Key Responsibilities Sales & Business Development Respond promptly to event enquiries and convert leads into confirmed bookings Conduct site visits and client consultations Prepare and present tailored proposals and quotations Follow up on leads and maintain a strong sales pipeline Achieve monthly and annual revenue targets Identify new business opportunities and grow existing client relationships Assist with marketing initiatives and promotional campaigns Event Coordination Manage events from confirmation through to execution Compile detailed function sheets and event briefs Liaise with operations, catering, décor, technical, and external suppliers Coordinate timelines, floor plans, and client requirements Attend events when required to ensure smooth delivery Conduct post-event follow-ups to maintain client relationships Administration & Reporting Maintain accurate client records and CRM updates Prepare contracts, invoices, and payment follow-ups Track deposits and ensure compliance with payment terms Generate sales reports and performance updates Ensure all event documentation is completed and filed correctly Minimum Requirements 2–4 years’ experience in sales and/or event coordination (hospitality preferred) Proven track record of meeting or exceeding sales targets Strong administrative and organisational skills Excellent verbal and written communication skills Proficiency in Microsoft Office (Word, Excel, Outlook) Experience with CRM systems advantageous Ability to work evenings and weekends when required Key Competencies Strong negotiation and closing skills Attention to detail Customer-centric mindset Ability to multitask under pressure Professional presentation and interpersonal skills Problem-solving ability Team player with a proactive attitude
