The Financial Planning Partner Assistant provides critical administrative, operational, and client services support to Financial Planning Partners. Based at the Constantia office in the Western Cape, this role acts as the vital liaison between the practice, product providers, and regional/head offices to ensure seamless business operations.

Key Responsibilities: 

  • Act as the primary point of contact for clients, managing queries and implementing a high-touch client management plan.
  • Take full ownership of administrative processes, including new business applications, onboarding, and client transfer documentation.
  • Conduct FICA and Anti-Money Laundering (AML) captures and checks to ensure compliance with relevant legislation.
  • Utilize Xplan extensively to capture client demographic and financial data, manage tasks, log notes, and maintain an accurate integrated diary system.
  • Prepare comprehensive client portfolios and review packs, pulling data from Astute, product providers, and NAV systems.
  • Track and monitor personal KPIs, manage commission suspense accounts, and liaise with product providers regarding outstanding fees.
  • Provide general office management support, including reception coverage, meeting room management, and coordinating client marketing events.

Requirements: 

  • 2–3 years of experience within the South African financial services industry is highly advantageous.
  • Proficiency in Xplan, Astute, and Microsoft Office Suite (Excel, Word, Outlook, SharePoint) is highly preferred.
  • A foundational understanding of FAIS and FICA legislation.
  • Relevant tertiary education or industry-specific courses.
  • Excellent verbal and written communication skills with the ability to manage time effectively and multi-task under pressure.
