About the Role
A well-established company in the Industrial & Commercial Storage Industry is seeking an Administrative / Office Assistant to join their team. If you have excellent organizational skills and enjoy working with customers, we’d love to hear from you!
Key Responsibilities
- Completes attendance and overtime registers.
- Updates colour registers.
- Ensures that attendance registers for the following day are prepared and in order.
- Maintains site work timekeeping and updates attendance registers.
- Scans CPI registers.
- Processes Omni payments and receipts as requested.
- Prepares Omni quotes and invoices.
- Updates order sheets by capturing and tracking all orders.
- Keeps track of staff leave.
- Completes leave application forms.
- Scans CPI leave forms.
- Manages switchboard duties.
- Assists walk-in clients in a professional manner.
- Files and maintains documents accurately.
- Attends to emails promptly and professionally.
- Sends out the order sheet at the end of each day.
- Scans completed site files and saves documents on A-Jobs under the correct job.
- Keeps track of fleet petrol slips.
- Books accommodation for site work as required.
- Ensures that site locations are added to the relevant site groups.
- Creates new site files.
- Opens new jobs on Omni.
- Processes creditors’ statements and invoices.
- Reconciles fleet card statements and slips.
- Attends to Mangaung and Centlec statements.
- Performs cash-up procedures and completes CODs.
Requirements
- Matric
- Fluent in Afrikaans and English
- Proven experience in administration, sales, or a similar role
- Strong communication and interpersonal skills
- Excellent organizational and multitasking abilities
- Proficiency in Microsoft Office and general administrative tasks
- Driver’s license and own vehicle
