Job Description

Job Title: Administrative Assistant – Sales Location: East Rand Multifranchise Summary: The Administrative Assistant – Sales will support the sales team by performing various administrative tasks related to sales processes and activities. The ideal candidate will be organized, detail-oriented, and possess strong communication skills. This individual will work closely with the sales team to ensure efficient and effective execution of sales strategies. Responsibilities: 1. Provide administrative support to the sales team, including managing calendars, scheduling appointments, and coordinating meetings. 2.Maintain and update sales-related documents, reports, and databases. 3. Assist in preparing sales presentations, proposals, and contracts. 4. Communicate with customers and vendors via phone, email, and in-person to gather information and provide support. 5. Process sales orders and inquiries in a timely and accurate manner. 6. Monitor and track sales metrics and performance data. 7. Coordinate and support sales events, trade shows, and customer visits. 8. Assist in researching market trends and competitor activities. 9. Handle general office tasks such as answering phones, organizing files, and ordering supplies. 10. Perform other related duties as assigned. 11. Support Sales Manager by addressing their queries and inquiries. 12. Check dealer quotes, pricing and discount before sharing with clients 13. Process all quote requests promptly within one day of receipt. 14. Follow up with dealers if quotes take long and keep the client updated 15. Issue quotes within one day of receiving the request. 16. Complete orders and keep customers informed of any delays 17. Handle customer inquiries via email or via phone. 18 Acquire a comprehensive understanding of the Motus fleet sales products and services. 19. Provide weekly quote report along with Order Received / pending 20. Collaborate with dealers to schedule product deliveries (backorders) to customers. 21. Review and follow up on existing orders for customers, coordinating with dealers to meet customer expectations. 22. Participate in Marketing activities, campaigns, and activations as needed. 23. Establish active communication with our dealer network, ask for referrals and leads to increase sales opportunities 24. If you have a drivers license assist with big fleet deliveries Qualifications: 1. High school diploma or equivalent; Associate’s or Bachelor’s degree preferred 2. 1-2 years of experience in a sales or administrative role 3. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) 4. Excellent organizational and time management skills 5. Strong attention to detail and accuracy 6. Effective written and verbal communication skills 7. Ability to work independently and as part of a team 8. Familiarity with CRM software (e.g. Salesforce) is a plus Physical Requirements: Must be able to sit at a desk and use a computer for extended periods of time Must be able to lift and carry heavy Advantageous: Prior experience as a sales coordinator or in administration. knowledge of Microsoft applications, including Word and Excel. Excellent written and verbal communication Ability to work under pressure Strong attention to detail Demonstrate a good level of negotiation skills to get best pricing from our dealer network Ability to build a good relationship with the Motus dealer network and our fleet customers This job specification is intended to describe the general nature and level of work performed by individuals assigned to this position.
