About the Role

Our client, Pro Tem, is seeking a dynamic and detail-oriented Personal Assistant & Office Administrator to keep their office running smoothly. As a key member of the team, you will be responsible for overseeing office operations, supplies, and occasional maintenance. If you are highly organized, proactive, and able to juggle multiple responsibilities with efficiency, this could be the perfect opportunity for you.

Key Responsibilities

  • Oversee office operations, supplies, and occasional maintenance.
  • Update the office manual and ensure all contact cards are up-to-date.
  • Manage appointments, event coordination, financial tasks, and general assistance.
  • Assist with planning and organizing events, meetings, and functions on site.
  • Handle basic petty cash and work with the bookkeeper on various requirements when needed.
  • Provide weekly lists of supplies in conjunction with the MD for domestic staff.
  • Maintain a media rep list, update contact numbers and business cards.
  • Drive a vehicle for office errands such as helping with events, collections of items, dropping off client gifts, and general run-around.
  • Perform after-hours work when necessary.

Requirements

  • Must have own vehicle & valid drivers license (occasional errands and off-site tasks).
  • Proficient in Microsoft Office specifically Excel, PowerPoint, and Word.
  • Comfortable working in a fast-paced, professional environment.
  • Good command of the English language (written and spoken).
  • Previous experience in office administration.

Qualifications

  • Must own and have your own vehicle.
  • Must be well-presented.

Salary & Benefits

  • Employment Type: Full-time on site with no hybrid model.
  • Travel: A logbook will be kept and claims for travel outside 5kms of the office will be reimbursed every 2 months.
  • Working hours: 8:00 17:00 on site.
