Job Description
Project Administrator / Secretary
1) General Secretarial Duties
a. Managing correspondence in German and English
b. Updating Directors diary, team schedules, weekly event lists
c. Attending meetings
d. Travel arrangements, including organising directors travels and related accounting procedures
e. Welcoming guests
2) Administrative Duties
a. General office management, administration and filing
b. Prepare and support procurement processes
c. Petty cash payments and related administration
d. Performing other administrative tasks
3) Project Support
a. Drafting reports and minutes
b. Support senior project officers in planning and organizing of capacity building activities (physical and online)
c. Support senior project officers in arranging programs for delegations in Africa and abroad
d. Arrange and organise expert visits to South Africa
e. Planning and organizing conferences, seminars, and workshops
f. Reporting about project activities in line with reporting requirements
g. Assisting the director and other project officers in implementing the Foundations projects
h. Translations German English
4) Monitoring and Evaluation
a. Preparation of questionnaires
b. Dissemination of questionnaires
c. Reporting of evaluation results to the senior project officer and regional representative
5) Other assigned duties
