Job Description

As an Office Administrator, you will play a very important role in supporting the team with a range of administrative tasks and provide Personal Assistant duties to the Director as and when required. Key Responsibilities: Quoting & Invoicing: Assist in preparing and issuing quotations for clients, ensuring they are accurate and reflect the project scope. Manage invoicing processes, ensuring all invoices are generated and sent in a timely manner. Coordinate with the finance team to ensure all payment transactions are processed accurately and follow up on any outstanding payments. Personal Assistant Duties: Provide administrative support to the Director, including managing schedules, organizing meetings, and preparing agendas. Coordinate travel arrangements, including transportation, accommodation, and itineraries for the Director and other senior management. Handle correspondence, including emails, phone calls, and mail, ensuring prompt responses and follow-up where needed. Assist with personal tasks as required, maintaining a professional and discreet approach to sensitive information. Data Capturing: Accurately capture, record, and organize data related to ongoing projects, ensuring it is easily accessible for the team. Draft and proofread internal and external communications, including reports, project updates, and official documents. Reception Duties: Greet guests in a friendly and professional manner, offering assistance as needed. Manage the front desk, handling phone calls, inquiries, and directing them to the appropriate departments or team members. Keep the reception area organized and welcoming for all visitors. Skills: Strong organizational skills and the ability to manage multiple tasks and deadlines. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) Excellent verbal and written communication skills Highly meticulous Strong ability to follow instructions Qualifications: Matric (Non-negotiable) Own Vehicle Remuneration : R15 000 (Dependent on experience) Please note that only shortlisted candidates will be contacted
