About the Role

We are seeking a highly skilled and experienced Secretary/Administrator to join our team at Helderberg Personnel cc in Pretoria. As a key member of our office, you will be responsible for providing administrative support to our financial advisor, ensuring the smooth operation of our day-to-day activities, and maintaining accurate records and documentation.

Key Responsibilities

  • Scheduling meetings and general office administration
  • Correspondence with clients and service providers
  • Assisting the financial advisor in servicing existing and new clients
  • Handling preparation of meeting documentation, application forms, and follow-ups
  • Filing, capturing client data, updating spreadsheets, and word documents
  • Processing of new business – pre-populating documentation, checking proposals and application forms, submitting to service providers/insurance companies
  • Follow-up on client transactions, implementation of new business, etc.
  • Drawing statements from service providers and summarizing client portfolio information
  • Preparation of presentations, investment summaries, and documentation for client review meetings
  • Assisting with FAIS and FICA compliance and other compliance requirements
  • Scanning to file all new business documents in client folders
  • General office duties, including filing, scanning, printing, ordering stationery, etc.
  • Being telephonically available for client queries and acting as the initial point of contact

Requirements

  • Grade 12 (Essential)
  • 5 years experience at a financial advisory practice is advantageous
  • Post Matric qualification will be an advantage
  • Strong written and verbal language skills in both Afrikaans and English essential
  • Strong computer skills essential
  • Own vehicle, transport, and driver’s license essential

Qualifications

  • Grade 12 certificate (Essential)
