Job Description

A luxury boutique property collection based in De Waterkant is seeking an organised and proactive Office Manager / PA to provide high-level administrative support to all Heads of Departments. This role requires a multi-skilled professional who can ensure smooth day-to-day operations while handling confidential matters with discretion. Duties and Responsibilities: Provide administrative and PA support to all HODs, including scheduling, correspondence, and documentation Coordinate office operations and ensure efficient communication between departments Organise and maintain filing systems, both digital and physical Assist with report preparation, data analysis, and presentations as required by management Manage diary scheduling, travel arrangements, and meeting coordination Screen and prioritise communications, emails, and phone calls for HODs Support recruitment processes, induction, and HR-related administration Handle confidential information with the utmost discretion Coordinate procurement of office supplies and manage vendor relationships Prepare agendas, take minutes, and follow up on action items from meetings Liaise with external stakeholders and represent the company in a professional manner Ensure compliance with company policies and procedures across administrative functions Support the executive team with ad hoc projects and operational requirements Requirements: Minimum 5 years’ experience as an Office Manager, PA, or Executive Assistant, within hospitality or luxury brands Strong organisational and multitasking skills with attention to detail Excellent written and verbal communication skills Proficiency in MS Office and office management software Professional demeanour and ability to build relationships at all levels Strong initiative and problem-solving capabilities Ability to work independently while supporting multiple HODs simultaneously Flexible and adaptable with a positive attitude To apply, please upload a copy of your updated CV and recent profile photo along with any written or telephonic reference.
