Job Description

A 5* property with over 120 bedrooms is looking to employ a dynamic dedicated Events Coordinator with Rooms experience , the following requirements are to be met: Minimum of 4 years as an event coordiantor at a 4 or 5 * property Matric and Hosptaility Management Diploma Own car and licence, be willing to work weekends and shifts when needed Duties include: • Prepare and manage accurate function sheets and event documentation • Ensure all event details are captured, updated, and communicated clearly to all departments • Assist with the planning and coordination of conferences, weddings, corporate events, and private functions • Liaise closely with clients prior to every event to ensure accurate understanding and correct interpretation of their requirements • Be available to meet clients on the day of their event to ensure a seamless transition from planning to operational execution • Conduct site inspections, menu tastings, and pre-event briefings • Respond promptly and professionally to enquiries, emails, and calls • Compile, update, and distribute detailed rooming lists • Manage special requests, VIP needs, dietary requirements, and mobility accommodations • Liaise with Front Office, Housekeeping, F&B, and other departments to ensure flawless delivery Function Configuration & Set-Up • Ensure correct venue set-up according to client specifications (layouts, décor, AV, staging) • Collaborate closely with Sales, Reservations, Operations, and F&B teams • Ensure effective communication of changes and updates • Computer literate Excellent Communication Skills (Fluent in English) Well presented and well groomed An UPDATED & detailed CV in MS Word format (starting with current position) is required, as well as a Recent head & shoulders photo, taken in the last 6 months.
