Job Summary
Provide administrative support to the sales team through accurate stock control, vehicle invoicing, and documentation. Maintain up-to-date records, ensure compliance with internal policies and industry standards, and facilitate smooth stock-related processes in line with brand and dealership operations.
Key Responsibilities:
- Accurately invoice vehicles and maintain stock records using dealership systems.
- Ensure prompt stock entries for new, used, trade-in, and buy-in vehicles.
- Create and manage purchase orders for vehicle reconditioning and accessories.
- Match supplier invoices with costings and ensure financial accuracy.
- Generate daily, weekly, and monthly stock reports.
- Maintain complete, compliant deal files and handle licensing documentation.
- Support demo fleet control and manage stock audits.
- Collaborate effectively with Sales Executives, Sales Managers, and service providers.
Preferred Qualifications & Experience:
- Matric Certificate (essential).
- 2–3 years’ experience as a Stock Controller in the automotive retail industry.
- Proficient in dealership management systems such as Automate, Autoline, or Drive; BMW system experience is advantageous.
- Knowledge of dealership stock and sales policies and procedures.
- Familiarity with regulatory compliance standards in the retail automotive sector.
Skills & Attributes:
- High attention to detail, accuracy, and organizational ability.
- Strong communication and interpersonal skills.
- Ability to multitask, take initiative, and problem-solve.
- Customer-oriented mindset with a team-player attitude.
- Proficient in Microsoft Office, especially Excel.
- Able to work under pressure and meet tight deadlines.
