Job Summary

Conveyancing Assistant Legal & Administrative Support in Property Transactions 1. Legal Document Preparation & Management Draft and prepare legal documentation, including sale agreements, transfer documents, bond documents, and title deeds, under the supervision of the conveyancer. Prepare formal correspondence such as client letters and emails, ensuring all communications are accurate, professional, and aligned with legal protocols. Ensure all legal documents are properly completed, signed, and filed both physically and electronically in accordance with firm procedures. 2. Client Communication & Liaison Serve as a key point of contact for clients, estate agents, financial institutions, and other third parties throughout the conveyancing process. Coordinate appointments, consultations, and follow-ups on behalf of the conveyancer. Address routine client queries, providing timely updates and general information related to property transactions. 3. File & Records Management Organize, maintain, and update legal files and client records, ensuring accuracy, accessibility, and compliance with legal standards. Monitor and track the status of each transaction, keeping all documentation current throughout the conveyancing lifecycle. 4. Property Transaction Coordination Assist in managing the transfer of property ownership by ensuring all legal, regulatory, and financial requirements are fulfilled. Liaise with local authorities for the registration of property documents and ensure deadlines are met. Support the processing and documentation of key financial actions such as deposit payments and transfer duty submissions. 5. Financial Administration Prepare settlement and final account statements for clients and financial institutions. Assist in managing trust accounts, ensuring all transactions are executed in compliance with legal and ethical regulations. Reconcile funds disbursement and provide support for financial audits when required. 6. Legal Research & Property Verification Conduct preliminary legal research to verify land ownership, property titles, and relevant encumbrances. Assist in reviewing title deeds and supporting documents to identify any legal issues affecting property transactions. 7. General Office & Administrative Support Maintain office efficiency by managing supplies, coordinating schedules, and organizing the conveyancers calendar. Answer phone calls, manage correspondence, and facilitate effective communication between clients, legal professionals, and external stakeholders. Support the overall operations of the legal office through organized, proactive administrative practices.
