About the Role

Phaki Personnel is seeking an experienced and skilled Board Secretary to join our team in Gauteng. As a key member of our board, you will play a crucial role in ensuring the smooth operation of our organization. Your primary responsibilities will include administration and coordination of board meetings, preparing agendas and notifications, arranging meeting logistics, and maintaining records.

Key Responsibilities

  • Schedule and coordinate all board and committee meetings
  • Prepare agendas and notifications in collaboration with the Chairperson of Board or Committees, and CEO as appropriate
  • Arrange meeting logistics, including virtual links to the meetings or venue, equipment and catering, where necessary
  • Attend and record minutes of the board and its committee meetings
  • Maintain a record of board attendance and decisions
  • Assist the CEO prepare for the board meeting by following up on progress of implementation of board decisions and assembling timely board submission for the board pack
  • Clearly communicate board decisions to management in a timely manner
  • Ensure confidentiality of Board materials, records and deliberations

Requirements

  • 2+ years of experience in administration or secretarial services
  • Proven ability to work independently with minimal supervision
  • Strong organizational and communication skills
  • Ability to maintain confidentiality of sensitive information
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)

Qualifications

  • Matric Certificate
