Job Summary

The Assistant Aesthetic Clinic Manager plays a key role in overseeing the day-to-day operations of the clinic, ensuring a smooth and efficient workflow while supporting both staff and patient needs. This position requires a dynamic individual with leadership abilities, exceptional organizational skills, and a strong understanding of aesthetic treatments. The Assistant Manager will work closely with the Clinic Manager and other team members to maintain high standards of patient care, service excellence, and operational efficiency.

Key

Responsibilities:

  1. Clinic Operations Management:

    • Assist in overseeing daily clinic operations, ensuring that all services are delivered smoothly and efficiently.
    • Help with scheduling appointments, managing patient flow, and ensuring that the clinic operates within designated hours.
    • Ensure the clinic is clean, organized, and adheres to health and safety regulations.
  2. Team Leadership and Staff Support:

    • Assist in supervising, training, and supporting clinic staff, including nurses, aestheticians, and receptionists.
    • Provide guidance and support to team members in delivering excellent patient care and service.
    • Assist in managing staff schedules and ensuring adequate coverage during peak hours.
  3. Patient Care and Client Satisfaction:

    • Ensure high-quality service and care for patients, handling patient inquiries and concerns professionally.
    • Provide assistance to patients, ensuring they are informed about treatment options, aftercare, and expected outcomes.
    • Resolve patient complaints and issues swiftly, maintaining high levels of satisfaction and loyalty.
  4. Financial and Inventory Management:

    • Help oversee clinic finances, including monitoring expenses and tracking revenue to meet budget goals.
    • Assist with managing inventory, including ordering and restocking medical supplies and skincare products.
    • Ensure accurate billing and payment processing for patient treatments.
  5. Marketing and Patient Acquisition:

    • Support marketing initiatives and campaigns to attract new clients and retain existing ones.
    • Help maintain the clinic`s online presence, social media accounts, and promotional materials.
    • Assist in planning events or promotions to boost clinic visibility and client engagement.
  6. Compliance and Record Keeping:

    • Assist in ensuring the clinic adheres to all local, state, and federal health and safety regulations.
    • Support maintaining patient records accurately and confidentially according to HIPAA guidelines.
    • Assist in preparing for and managing clinic inspections, audits, or accreditations.
  7. Collaboration and Communication:

    • Foster a collaborative and positive work environment, encouraging teamwork and open communication.
    • Assist in managing internal and external communication, including patient follow-ups and inquiries.
    • Work closely with the Clinic Manager to ensure smooth operational flow and optimal performance.

Qualifications:

  • Education:

    • A relevant degree in business administration, healthcare management, or a related field (preferred).
    • Certifications or training in aesthetic treatments or beauty management (desirable but not required).
  • Experience:

    • Minimum of 2-3 years of experience in a managerial or supervisory role within a healthcare, aesthetics, or beauty clinic environment.
    • Previous experience in aesthetic treatments, skincare, or dermatology is a plus.
  • Skills:

    • Strong leadership, organizational, and time management skills.
