About the Role
The Department Administrator will provide administrative support to the organization, exercising logistical control over boardroom bookings and attending to general secretarial duties. This role requires a high level of organizational skills, attention to detail, and ability to maintain confidentiality.
Key Responsibilities
- Exercise logistical control over boardroom bookings
- Control and administer attendance registers
- Perform general secretarial duties
- Office consumable control
- Collect and submit weekly time sheets for approval by Contract Manager and GM
- Follow-up queries on overtime approvals
- Assist with processing recoveries
- Maintain confidentiality of all correspondence and discussions
- Exercise clean desk and filing policy with regard to executive documents
- Ensure electronic data is backed up, secured, and passwords are maintained current
- Promptly destroy confidential documents emanating from executive offices
- Empty waste bins daily
- Provide telephone lists, home numbers, and personal information about executives only on authorized request
- Maintain tender specification and contract confidence at all times
- Keep client lists and contract data confidential and release only on authorized request
Requirements
- Secretarial Diploma
- 5 Years office administrative experience
- Computer literacy (Excel, Lotus Notes, Power Point, Word)
- Ability to work under pressure
- Basic tendering process knowledge/exposure
