Job Summary
Role Overview
This is a key role requiring someone with strong organisational ability, attention to detail, excellent communication, and an anticipatory mindset to ensure the Chairman is optimally supported across business and personal matters.
Key Responsibilities
Diary & Time Management
Manage the Chairmans schedule proactively, ensuring efficiency, balance, and prioritisation of strategic matters.
Schedule and reschedule appointments seamlessly, allowing for preparation, travel, and focus time.
Maintain records of personal milestones (e.g., birthdays, anniversaries) and ensure timely acknowledgments.
Travel & Logistics Management
Oversee end-to-end travel arrangements (local & international) including flights, visas, hotels, transfers, and contingencies.
Prepare comprehensive travel packs and anticipate risks or changes to itineraries.
Coordinate logistics for family or guest travel where necessary.
Event & Meeting Support
Organise and coordinate high-level engagements such as Board meetings, investor sessions, and VIP functions.
Liaise with internal and external stakeholders and manage event logistics, materials, and on-site support.
Attend meetings, capture key decisions, and ensure timely follow-up on action items. Maintain a tracker of initiatives and deliverables.
Administrative & Communication Support
Draft professional correspondence, manage email prioritisation, and handle confidential communications.
Prepare presentations, board packs, and briefing documents.
Maintain both digital and physical filing systems.
Budget Oversight Chairmans Office
Track and manage office and personal expenses for the Chairman including administrative, travel, and household costs.
Keep accurate records and submit periodic reports as required.
Strategic & Proactive Support
Act as the primary interface and gatekeeper for the Chairman.
Anticipate needs and initiate support activities aligned to business priorities.
Continuously seek improvements in systems, processes, and efficiency.
Requirements
Competencies & Skills
Strong planning, coordination, and multitasking abilities.
High emotional intelligence, professionalism, and integrity.
Strategic thinker with sound judgment and initiative.
Exceptional verbal and written communication.
Advanced proficiency in MS Office, Outlook, Zoom, MS Teams, and travel management platforms.
Fluent in English; Shona – French an advantage.
Experience & Qualifications
- 58 years experience supporting C-suite or Board-level executives, preferably with exposure to international operations.
- Background in project/event coordination and managing sensitive stakeholder relationships.
- Proven ability to operate in high-pressure and high-discretion environments.
- A project management qualification is advantageous
