Job Description

PA Duties: Serve as the primary point of contact for the MD and Sales Director, managing calls, inquiries, and correspondence. Maintain and organise all filing systems and ensure documentation is accurate and up to date. Prepare, proofread, and edit reports and business documents. Process and track administrative paperwork for approval. Provide support with special projects and ad hoc administrative requests. Administrative Duties File and scan all service-related and company documentation daily. Manage courier arrangements (e.g. The Courier Guy) for toner dispatches as instructed. Answer incoming calls and direct them to the appropriate departments. Handle deliveries and distribute items accordingly. Maintain accurate hard-copy records and ensure all filing is completed daily. Daily Tasks: Open and close the office working hours: 08:0016:30, Monday to Friday. Collect job cards from technicians, scan, and email daily File all job cards. Process stock book-in and book-out forms, scan, and email before COB. File all stock forms. Receive and distribute all deliveries. Arrange toner dispatches via The Courier Guy (FH to assist initially with stock). File all waybills. Answer and manage the switchboard. Collect petrol slips from technicians and sales staff send originals to MH via FH. Forward all invoices (from technicians or deliveries) to MH via FH. Monitor service emails and WhatsApp to learn how MH manages incoming queries ideal for growth into a service controller role. Maintain kitchen and office supplies (tea, coffee, toiletries, bin bags, etc.). Ensure the kitchen bin is cleaned weekly by technicians . Qualities: Professional and well-presented. Excellent verbal and written communication skills. Reliable, punctual, and committed. Innovative and able to solve problems independently. Strong organisational and record-keeping skills (especially with hard copies). High level of accuracy in all administrative tasks. Enthusiastic with a proactive attitude. Qualifications & Experience. Matric certificate essential. Minimum of three years administrative experience. Strong attention to detail, accountability, and practical common sense. Fluent in English and Afrikaans (spoken and written). Internal Role (Own transport required). Non-smoker (vaping allowed). Early starter responsible for opening and closing the office. Must be willing to grow with the company into other possible positions over time.
