About the Role
Blue Pearl PTY LTD is seeking a highly organized and detail-oriented Personal Assistant to support our CEO. The successful candidate will play a critical role in ensuring the smooth day-to-day operation of the CEO’s office, managing schedules, meetings, travel, and logistics, while providing professional administrative and operational support.
Key Responsibilities
- Manage and maintain the CEO’s diary, ensuring efficient scheduling and prioritization of meetings.
- Coordinate internal and external meetings, including preparation and follow-ups.
- Act as the primary point of contact between the CEO and internal/external stakeholders.
- Book and manage boardrooms and office meetings.
- Prepare agendas, take accurate minutes during meetings, and distribute action items.
- Ensure meeting logistics are arranged (venues, equipment, catering where required).
- Book flights, accommodation, and ground transportation for the CEO.
- Manage travel itineraries and ensure seamless end-to-end travel arrangements.
- Coordinate logistics for company events, workshops, and executive functions.
- Liaise with vendors, venues, and service providers to ensure successful event execution.
- Handle confidential and sensitive information with discretion.
- Assist with general office administration duties as required.
- Support ad-hoc tasks to ensure the smooth running of executive and office operations.
Requirements
- Proven experience as a Personal Assistant, Executive Assistant, or similar role.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Ability to multitask, prioritize, and work under pressure.
- High level of professionalism, discretion, and confidentiality.
- Proficiency in Microsoft Office / Google Workspace tools.
- Strong attention to detail and problem-solving ability.
Qualifications
- Bachelor’s degree or equivalent qualification (if applicable).
