Job Summary

Flexibility Proficiency in Microsoft Office and other office productivity tools, with aptitude to learn new software and systems Proficiency in Outlook, PowerPoint and Excel is essential Service delivery / customer service orientated Ability to work closely in a team but can also work independently without constant supervision. Ability to follow through, meet deadlines and work under pressure. Budget management and cost optimisation Key Responsibilities: The facilities manager is responsible for the end-to-end coordination, execution and follow through of facilities related projects and activities to completion as directed by the Group Shared Services Director. The responsibilities of the role are split into the following key areas: 1. Space Planning and Management Optimizing the use of space in HO, including allocation, layout, and furniture configuration. Manage moves, additions, and changes related to the workspace. 2. Operations and Maintenance Day to day facilities upkeep, including preventative maintenance and repairs at HO and additional building as advised by supervisor. Ensure the facility’s infrastructure, equipment, and systems are in optimal working condition. Manage facilities service requests from internal stakeholders. Continuously leverage technology to improve efficiencies, streamline operations, deliver services and enhance the overall facility experience. Standardise contracts where feasible to drive efficiencies, effectiveness and cost optimisation. Monthly reporting of facilities related activities for management. Implement eco-friendly practices and reducing the facility’s environmental impact. 3. Project Management Oversee projects such as renovations, expansions, or implementations of new technologies. Sourcing, negotiating, and managing contracts with external vendors for various services. Plan, budget, execute, and complete projects on time and within budget. Manage project budget, expenses and identify cost-saving opportunities. 4. Communications Custodian for facility related communication internally. Write updates regarding facilities related issues and possible impact on productivity and advise mitigation plans in place. Key liaison with external suppliers – own the relationship. Negotiate with service providers to optimise costs and service delivery. 5. Safety and Compliance Ensure the facilities meets all relevant safety regulations and standards Conduct risk assessments Developing emergency procedures and ensure fire drills are conducted. Standard OZA Capital and Services Office Time Monday to Friday Office hours 8:00am – 5:00pm Head office in Midrand Due to nature of the job, the facilities manager needs to avail himself/herself for requirements that may occur outside normal working hours. Monitoring and Evaluation Performance will be measured in terms of the contents of this job description every 6 months. Written notification will be communicated and send to the incumbent should there be any areas where your performance does not meet the companys expectations. Minimum Requirements: Minimum Five years experience in facilities management
