Job Summary

Role: Office Administrator Position: Remote Hours: 8:45 am 5:30 pm, with flexibility for private appointments during the day if required. WHAT YOU WILL BRING TO THE COMPANY Are you a highly organized person with experience as an Office Administrator? If so, one of the most recognisable agents renting and selling properties in central London would like to hear from you. This is a diverse role that requires you to be the heartbeat of the office. Along with ensuring that the daily functions of the office run smoothly, you will take on a wide-ranging role, including tenancy coordination, liaising with internal and external stakeholders, and supporting other team members. WHAT YOU WILL BE RESPONSIBLE FOR Referencing Checks: Conducting rigorous referencing checks to ensure that all applicants are of the highest calibre. This involves taking references from landlords, employers, banks, compiling credit checks, and verifying ID and address. You may occasionally be asked to provide updates directly to landlords on referencing progress. Tenancy Coordination: Drafting tenancy agreements, coordinating payments, and ensuring the property is prepared for occupation. This includes addressing maintenance issues, cleaning, booking inventories, right-to-rent checks, assisting with compliance checks, and managing deposit registration. Office and Team Support: Updating databases, releasing keys to contractors, managing the key log, greeting clients, handling phone calls and correspondence, and assisting with various admin tasks. Office Management: Ensuring the office is fully stocked with supplies, maintaining a tidy workspace, completing filing, and refreshing window displays regularly. Marketing Support: Assisting with marketing campaigns, including letter drops, online marketing, giveaways, and attendance at networking events. WHO YOU ARE Proven experience as an Office Administrator, preferably within the property industry. Strong planning and organizational skills, with excellent attention to detail. Effective time management and the ability to prioritize tasks in a fast-paced environment. Computer literacy and solid proficiency in office software. Strong verbal communication skills, with excellent written communication and numeracy.

Manage office supplies, including equipment and stationery. Answer incoming office phone calls and respond to inquiries. Arrange courier services as needed. Oversee the office cleaner`s duties. Family Office Service: Assist Ultra High Net Worth Family Office clients with ad hoc requests, including visa applications, passport renewals, insurance, and medical aid. Go to clients locations to facilitate documentation signing. Personal Assistance: Serve as a Personal Assistant to Directors and the Management Team. Manage diaries and schedules for the management team. Book travel itineraries, including flights and accommodation. Schedule monthly client meetings and prepare necessary materials. Handle ad hoc personal requests, such as car servicing and restaurant bookings. Client Administration: Prepopulate account opening documentation for clients.

Requirements:

Tertiary education. Fluent in English (first language). Female candidates preferred. Minimum of 15 years of working experience in a professional environment. Excellent computer literacy skills, particularly in MS Office and Excel. Ability to work under pressure and manage multiple tasks. Valid drivers license and access to a vehicle. Clean credit reference and clear criminal record. Previous experience as a personal assistant or administrator is advantageous. Positive attitude and a proactive approach to work.

Responsibilities:

Handle the day-to-day administration of the office. Assist clients with quotes and directing them to the appropriate sales or technical staff. Record keeping (Client, supplier and stock). Ensure smooth logistics between suppliers, customers and management. Invoicing clients, processing payments, ensuring that all transactions are accurately recorded. Stock management – Tracking Inventory Levels, Ordering and Reordering, Warehousing, Forecasting Demand) Customer service and Communication Work closely with Management

Requirements:

Fluent in Afrikaans & English Strong Administrative skills Attention to detail Excellent communication and interpersonal skills Focused and responsible Self-motivated and results-oriented Ability to work independently and as part of a team Diploma or degree would be advantageous Stock Management Experience – (Inventory Control, Stock Taking, Supplier Co-ordination, Stock Forecasting, Warehouse Management, Cost Control) Minimum 5 years experience in an administrator and stock inventory role with contactable references Matric with Mathematics no less than 50% for real Math, at least 70% for Math lit Must have own reliable car Personal Attributes: Strong logical thinking skills are required, as this role involves working closely with the companys director, who is also their engineer and designer.
