Job Summary

The successful candidate will be responsible for a range of duties, including but not limited to: Providing professional secretarial and administrative support to site managers and clients. Managing and maintaining management schedules and calendars. Compiling, scheduling, and maintaining monthly Bidvest Protea Coin auditing reports. Processing and maintaining monthly site contractual and casual guarding invoices. Handling and reconciling service provider invoices. Managing petty cash statements and petrol card reconciliations. Processing and maintaining recurring orders. Creating, capturing and managing site purchase orders. Capturing and managing data for the security workforce management system daily. Updating job descriptions and operational procedures. Taking, typing, and distributing minutes of meetings. Ordering and managing consumable stationery and office supplies. Scanning, filing, and maintaining personnel files. Assisting and directing visitors to the Protection Services department. Liaising with internal and external stakeholders. Preferred Qualifications, Skills & Attributes: Grade 12 (Matric) or equivalent qualification. Relevant administrative experience, preferably in a corporate or security environment. Professional appearance and strong interpersonal skills. Strong numerical ability and proficiency in financial reconciliations. Analytical and detail-oriented with a proactive approach. Excellent verbal and written communication skills. High level of accuracy and attention to detail. Strong planning, organizing, and time management skills. Ability to work under pressure while maintaining a high level of professionalism. Flexibility to work extended hours when required. Proficiency in MS Office (Excel & Word) with advanced knowledge of spreadsheets and financial reporting. Clean disciplinary record. Willingness to undergo and pass a pre-employment polygraph and medical test before appointment.
