Position Overview
The Vehicle Stock Controller is responsible for managing all aspects of vehicle stock within the dealership. This includes accurate recording, tracking, and reporting of vehicle movements from ordering to delivery, ensuring compliance with industry regulations and company standards. The role supports sales, admin, and management teams by maintaining up-to-date and accurate stock information.
Key Responsibilities
- Oversee and maintain accurate records of all new and used vehicle stock.
- Capture, update, and reconcile vehicle information on dealership management systems.
- Manage the ordering, receipt, and distribution of vehicles from manufacturers and suppliers.
- Ensure all vehicle documentation (invoices, delivery notes, licensing papers, etc.) is correct and compliant.
- Track vehicle movements between branches, dealerships, or third parties.
- Conduct regular stock audits and reconcile discrepancies.
- Work closely with the sales department to monitor stock availability, allocations, and vehicle readiness for delivery.
- Prepare and distribute stock reports for management review.
- Liaise with manufacturers, transporters, licensing authorities, and finance institutions regarding stock matters.
- Ensure compliance with all internal controls, policies, and industry regulations.
Skills & Competencies
- Strong administrative and organizational skills.
- High attention to detail and accuracy.
- Ability to work under pressure and meet deadlines.
- Sound knowledge of dealership systems and vehicle stock processes.
- Good communication and interpersonal skills.
- Proficient in MS Office (Excel, Word, Outlook) and dealership management systems (e.g., Kerridge, Autoline, Evolve, or similar).
Qualifications & Experience
- Grade 12 (Matric) or equivalent qualification.
- Minimum 23 years experience in vehicle stock control within the automotive industry.
- Knowledge of industry regulations and compliance requirements (NaTIS, licensing, invoicing, and stock management).
- Experience in both new and used vehicle stock management advantageous
