Operations Business Unit Coordinator Job Description A Business Unit Coordinator is a critical role that oversees and manages the day-to-day operations of an organization, ensuring efficiency, productivity, and compliance. Here are some key responsibilities (not limited to): Operational Oversight: Monitoring and controlling operational processes, identifying areas for improvement, and implementing changes. – Making calls to all Operations personnel daily (Internal personnel and Clients). – Overseeing trolley counts daily and report on trolley losses. – Overseeing the submission of closing pictures for all the stores under your control. – Overseeing the Cleaning Division operations. Performance Management : Tracking key performance indicators (KPIs) on all operations personnel, analysing data, and reporting on operational performance. – Tracking and monitoring scorecard calendars for Ops Department. – Communicating with Store Managers regarding scorecards dates. – Collating scorecards monthly and formulate reports for management reviewing. – Dealing with issues raised from Scorecard meeting. – Provide solutions and systems to all issues raised and ensuring implementation of same processes for effective running of operations. Process Improvement: Identifying inefficiencies, developing and implementing process improvements, and ensuring standardization. – Conducting continuous research on improving Operations processes and procedures. – Review and update Operations Processes and Procedures to ensure client expectations are met. Compliance and Risk Management: Ensuring operational compliance with regulatory requirements, company policies, and industry standards. – Monitoring Hawk mobile daily and reporting. – Review Hawk mobile, inspection sheets, road infractions etc from the app. – Collate reports from the app for review by BOD. Budgeting and Cost Management : Managing operational budgets, controlling costs, and identifying opportunities for cost savings. – Placing orders for Operations Department and tracking the delivery of all orders. – Communicating with clients and Management on placed order and ETA. – Reviewing budgets and implementing cost cutting plans. – Managing the unit’s budget and resources effectively. Communication and Collaboration : Liaising with various stakeholders (AMs, RMs etc), including employees, management, customers, and suppliers daily. – Working with other departments and senior management to ensure overall company success. Problem-Solving and Troubleshooting : Resolving operational issues, investigating root causes, and implementing corrective actions. – Working closely with Area Manager to resolve all operational issues that may arise. – Be proactive in dealing with issues from clients. Asset Management : Tracking and managing the entire asset fleet, including asset fleet movements and paperwork involved in asset movement. Inventory Management : Maintaining accurate records of all fleet assets, including daily trolley counts, analysing, recording and reporting on losses. Maintenance Coordination : Scheduling and coordinating maintenance and repairs for trolleys, including placing orders for trolley parts. Reporting and Analysis : Generating reports on asset fleets management monthly. Conduct presentations on Operations performance (when required to). Vendor Management : Developing and maintaining relationships with vendors and ensuring timely delivery of parts and services. – Monitoring and improving customer satisfaction levels within the unit. Requirements: Experience : Three (3) years Operations experience and/or managing (preferably in the retail and/or cleaning sector). Technically Skills : Hands-on approach and able to perform basic maintenance work. Highly Organizational Skills : Managing multiple tasks and priorities effectively. Communication Skills : Excellent written and verbal communication for interacting with various stakeholders Computer literacy : Good Excel Skills.
