Job Description

Position Summary: The Service Administrator will provide administrative and operational support to the Service Department, ensuring smooth coordination of service activities, accurate documentation, and excellent customer service. This role requires a detail-oriented and organized individual with strong communication skills and the ability to work in a fast-paced environment. Key Responsibilities: Coordinate service requests, bookings, and scheduling for customer equipment and maintenance. Serve as the first point of contact for customers regarding service inquiries, updates, and follow-ups. Prepare and manage service documentation, including service reports, work orders, and invoicing. Liaise with service technicians, parts department, and management to ensure timely completion of service jobs. Maintain accurate records of service history, equipment details, and customer information in the company system. Monitor service performance and provide regular updates to management. Assist in procurement of spare parts and tracking of inventory related to service operations. Handle internal and external communications professionally, including emails, phone calls, and correspondence. Support the Service Manager with ad hoc administrative tasks as required. Qualifications & Experience: Matric (Grade 12) or equivalent; additional administrative or business-related qualifications are an advantage. Previous experience in a service or administration role within industrial, logistics, or equipment-based companies preferred. Strong computer literacy (MS Office Suite, ERP systems, or similar). Excellent organizational, time-management, and multitasking skills. Strong verbal and written communication skills. Ability to work independently and collaboratively in a team environment. Attention to detail and accuracy in all administrative tasks. Key Competencies: Customer-focused with strong interpersonal skills. Proactive problem-solving and decision-making abilities. Ability to handle confidential information with discretion. Flexible and adaptable to changing priorities. Employment Type: Full-Time
