Job Description

MINIMUM REQUIREMENTS:

A relevant diploma or degree in Project Administration, Project Management, Business Administration, or related field.

Project coordination or administrative support experience within a technical, engineering, or manufacturing environment. (minimum 5 years).

Experience in product development.

Proficiency with project management or collaboration tools (e.g., MS Project, Jira, Monday.com, SharePoint).

High proficiency in MS Office (Excel, Word, PowerPoint).

Ability to coordinate across multidisciplinary teams (engineering, production, quality, supply chain).

Experience in the defence, aerospace or similar industry (advantageous).

Key Responsibilities:

Project Coordination & Support

Assist Project Managers with planning, scheduling, and monitoring project activities.

Interpret and manage project task requirements, ensuring alignment with engineering and project goals.

Interface daily with engineering disciplines (optical, mechanical, electronic, software, systems) to track progress and consolidate information.

Support preparation of project timelines, Gantt charts, risk registers, and action item logs.

Documentation & Configuration Control

Maintain accurate project documentation including specifications, minutes, change requests, and technical records.

Assist with version and configuration control of project documents and work items.

Compile documentation packages for design reviews (SRR, PDR, CDR) and qualification activities.

Support creation and formatting of technical and project documents (e.g., SRS, ICD, ATP, test reports).

Project Reporting & Communication

Prepare internal project status reports, dashboards, and milestone updates.

Coordinate and document project meetings, ensuring clear tracking of actions and responsibilities.

Facilitate communication between engineering teams, suppliers, production, and management.

Operational, Procurement & Production Support

Interface with the production facility to track build progress and update project schedules.

Assist with procurement activities including obtaining quotes, raising requisitions, and following up on supplier deliverables.

Track project costs, budgets, hours, and resource usage for reporting purposes.

Support project readiness for serial production, including organising documentation and ensuring process compliance.

General Project Office Functions

Organise travel arrangements, meetings, demonstrations, and customer engagements.

Provide administrative and logistical support for engineering teams.

Assist with preparing estimates, quotations, and related documentation.

Perform any other reasonable tasks assigned by project leadership.

Any other reasonable tasks given to the employee.

Occasional international travel to clients or the parent company.
