Requirements:

Bachelors Degree or equivalent. Minimum 5 years of experience as an Executive Assistant supporting senior-level management and internal & external stakeholders. Experience working closely with senior-level Managers, internal and external stakeholders. Expertise in Managing Executive / CEOs calendar. Competencies: Fluent in Afrikaans and English. Time management skills to efficiently handle multiple tasks and priorities. Excellent writing skills and the ability to draft emails on behalf of senior-level Managers. Discretion and the ability to handle confidential information with integrity. Strong collaborative and interpersonal skills to work effectively with a large variety of personalities within the team. Excellent presentation skills. Ability to work under pressure. A logical and systematic approach to work (deadline-oriented). Ability to solve problems by thinking laterally and offering creative solutions. Commercial awareness and numeracy skills. Excellent oral and written communication skills. Negotiation and analytical skills. A positive attitude to continued learning. Well presented. Energetic, friendly and self-motivated. Have a positive attitude and the ability to remain calm under pressure. Proficient in Microsoft Office Suite, Sage and other relevant software (ability to handle electronic data). Responsibilities:

Project Management: Assist in managing and co-ordinating special projects, initiatives, or events, working closely with other team members and departments. Prepare research and briefing documentation in advance of appointments and presentations. Compile Data: Type, compile and prepare reports and correspondence. Provide high-level administrative support to the Directors of the company such as research, statistical reports and design of presentations. Compile data to assist in making informed decisions. Prepare reports, presentations, and summaries as required. Manage database and filing systems. Meeting Co-ordination: Write minutes of meetings. Prepare and reconcile expense reports. Maintain and manage the Director`s calendar for efficient time management, including scheduling and co-ordinating appointments, meetings, and events. Building Relationships: Develop and maintain positive working relationships with internal and external stakeholders crucial to the organisations success. Contribute to adhoc projects as needed. Time-Management: Prioritise own time and CEOs time, allowing management to focus on high-priority tasks by handling routine matters and managing interruptions. Confidentiality: Maintain strict confidentiality of sensitive information and exercise discretion in all interactions and communications. Knowledge: Develop a broad knowledge and understanding of the companys operations and objectives. Technology Proficiency: Up-to-date with relevant software and tools used in the organisation, such as productivity apps, project management systems, and communication platforms.
