About the Role

We are seeking an experienced and skilled Executive Personal Assistant & Property Administrator to join our team in Cape Town City Centre. As a key member of our support team, you will provide exceptional administrative support to our executives, manage various property-related tasks, and ensure seamless day-to-day operations.

Key Responsibilities

  • Diary and calendar management, setting up appointments and reminders
  • Preparation of agendas, taking minutes, and acting as the first point of contact
  • Handling sensitive and confidential information with professionalism and discretion
  • Renewal and administration of vehicle licences, sales, personal number plates, and filing
  • Managing/ updating various insurance policies and submitting/tracking insurance claims
  • Family support and administration
  • Basic IT support
  • Obtaining clear approvals for every quote/invoice/job
  • Office Management: stationery and office supplies, petty cash, cleaning management, equipment management, suppliers, and contractors
  • Anticipating needs, resolving issues with speed
  • Property Administration Support: tenant liaison, managing communications, and requests
  • Maintaining accurate tenant and property records
  • Coordinating and scheduling property inspections, repairs, and maintenance with vendors and contractors
  • Preparing correspondence, reports, and documentation for leases, renewals, and notices
  • Supporting leasing efforts, including tenant applications and onboarding documentation
  • Monitoring lease expirations and following up on renewals or vacancies
  • Ensuring compliance with local property laws and company policies
  • Tracking and managing utilities, service contracts, and insurance requirements
  • Working closely with the Maintenance Manager to ensure outstanding duties are completed
  • Assisting with obtaining competing quotes

Requirements

  • Proven experience as a personal assistant
  • Knowledge and experience with Leases, facility management, and various property requirements
  • Strong filing and organizational skills and attention to detail
  • Excellent communication and interpersonal abilities
  • Proficient in MS Office (Word, Excel, Outlook)
  • Ability to multitask and manage time effectively

Qualifications

Matric certificate or equivalent; further education in property, business, or administration is advantageous.
