Cape Town City Centre: Expediter (Manufacturing & Distribution)

Job Summary The Expediter is responsible for coordinating and expediting customer sales orders from order entry through delivery. This role ensures accurate processing of orders in the SYSPRO ERP system, proactive communication with customers and internal departments, and on-time fulfilment in alignment with production and distribution schedules. The position serves as a key link between Sales, Production, Planning, Warehousing, and Logistics to ensure customer satisfaction and operational efficiency. Key Responsibilities Sales Order Management Capture, process, and maintain customer sales orders accurately in SYSPRO ERP Verify pricing, product codes, lead times, and delivery requirements Ensure compliance with company policies, credit terms, and order approval processes Order Expediting & Coordination Monitor open sales orders and proactively expedite production, picking, and dispatch Liaise with Production Planning, Manufacturing, Procurement, and Warehouse teams to meet delivery commitments Track order status and resolve delays, shortages, or discrepancies Customer Communication (Sales Consultants and Distributors) Provide customers with order confirmations, delivery updates, and lead-time information Handle order amendments, cancellations, and backorders professionally and efficiently Act as the primary point of contact for order-related queries and escalations ERP & Reporting Maintain accurate and up-to-date data in SYSPRO , including order status, allocations, and delivery notes Generate sales, backlog, and delivery reports as required Identify system or process issues and recommend improvements Logistics & Distribution Support Coordinate dispatches with logistics providers and internal distribution teams Ensure correct documentation (delivery notes, invoices, packing lists) is issued Assist with export or inter-branch orders where applicable Cross-Functional Support Support the Sales team with order progress, stock availability, and customer commitments Assist Finance with invoicing queries and order reconciliation Contribute to continuous improvement of sales and order-to-cash processes Key Performance Indicators (KPIs) On-time and in-full (OTIF) order delivery Turnaround time on customer queries Order accuracy and data integrity in SYSPRO Customer satisfaction and response times Reduction in order delays and escalations Minimum Requirements Qualifications Matric / Grade 12 (essential) Certificate or Diploma in Supply chain management, logistics or relevant will be an advantage Experience experience in a sales administration, customer service, or order processing role will be an advantage Exposure to manufacturing or distribution environments advantageous SYSPRO ERP exposure preferred (training will be provided on merit) Skills & Competencies Technical Skills Basic understanding of sales order and delivery processes Computer literate (MS Excel, Word, Outlook) Ability to learn and use ERP systems (SYSPRO) Behavioural Competencies (Junior Level) Attention to detail Good communication skills (verbal and written) Strong organisational and time management skills Willingness to learn and take instruction Ability to work well in a team environment Ability to work under pressure during peak periods Competency Level Summary Competency Area Required Level ERP Usage (SYSPRO) Basic Customer Communication BasicIntermediate Order Coordination Basic Problem Solving Basic Time Management Intermediate Working Conditions Office-based with frequent interaction with operations and warehouse teams Standard business hours, with flexibility during peak periods
