Job Summary
Responsibilities:
Team Supervision & Mentorship: Supervise, train, and mentors the Property and Facilities Coordinator. Delegates tasks, monitors performance, and provides feedback. Operational Oversight: Oversees daily operations, ensuring preventative maintenance schedules are followed, repairs are completed promptly, and tenant requests are addressed efficiently. Tenant Communication & Relations: Serves as the primary point of contact for tenants regarding facilities-related issues. Responds to inquiries, handles complaints, and ensures tenant satisfaction. Vendor Management: Manages relationships with vendors, obtains quotes, negotiates contracts (with FM approval), and oversees the quality of their work. Project Management: Assists the Facilities Manager with planning and coordinating facilities projects, including renovations, upgrades, and repairs. Manages smaller projects independently. Maintenance Management: Develops and implements preventative maintenance schedules, tracks work orders, and ensures timely completion of repairs. May perform some hands-on maintenance tasks as needed. Safety & Compliance: Ensures properties are maintained in a safe and compliant manner. Conducts regular safety inspections and addresses any hazards. Budget Tracking & Reporting: Monitors expenses related to facilities operations and provides regular reports to the Facilities Manager.
Requirements:
Associate`s degree in a related field or equivalent experience preferred. Proven experience (typically 3 years) in property or facilities management. Strong understanding of building systems, maintenance procedures, and safety regulations. Excellent communication, interpersonal, and problem-solving skills. Ability to multitask, prioritize, and manage multiple projects simultaneously. Proficiency in relevant software and technology. This role supervises the Property and Facilities Coordinator and ensures smooth operations, tenant satisfaction, and efficient use of resources.
