Job Description
The Founder and Director of a high-end property in Camps Bay is seeking a highly organised, proactive and polished Executive Assistant & Property Manager to support a hybrid portfolio spanning executive assistance, property, household management, personal administration, and project coordination.
This is a dynamic, high-trust role for someone who thrives in fast-paced, agile environments, anticipates needs, builds structure, and ensures seamless execution across multiple priorities. Your responsibilities include but are not limited to the following:
Property & Household Management
- Manage daily property operations, maintenance, and improvement projects.
- Coordinate vendors, compare quotes, schedule work, and ensure quality delivery.
- Oversee housekeeping, household supplies, and preventative maintenance.
- Support dcor updates, sourcing and installation of furnishings and accessories.
Executive, Personal & Project Support
- Manage schedules, priorities, deadlines, and follow-ups.
- Translate ideas into actionable plans and ensure projects progress efficiently.
- Maintain a visual task dashboard with weekly executive summaries.
- Handle correspondence, travel planning, expenses, and budgets.
- Manage municipal payments, courier services, shipping, and general errands.
Systems & Process Excellence
- Build and maintain trackers, dashboards, and organisational systems.
- Leverage AI and technology to streamline workflows and recurring tasks.
- Continuously improve processes for efficiency and clarity.
Client, Event & Stakeholder Coordination
- Act as a professional point of contact for clients and stakeholders.
- Coordinate meetings, workshops, and events end-to-end.
- Manage international and domestic travel logistics.
Requirements
- Bachelors degree.
- Minimum 5 years experience as an Executive Assistant, Operations/Property Manager, or similar senior support role.
- Experience supporting high-net-worth individuals or C-level executives.
- Strong organisational, communication, and prioritisation skills.
- Advanced proficiency in Microsoft Office and project management tools.
- Confident working independently with minimal supervision.
- Discreet, trustworthy, and emotionally intelligent.
- Calm under pressure and adaptable to changing priorities.
- Comfortable using AI and technology to enhance productivity.
- Valid drivers license and own vehicle (travel included in CTC).
- Based in Cape Town along the Atlantic Seaboard.
