Job Summary
Our client is looking for a Logistics and Financial Administrator to join their team in Cape Town, WC. The ideal candidate will be detail-oriented and proactive, with strong organizational and analytical skills to manage sales processes, logistics coordination, and financial administrative tasks. This role ensures seamless order processing, efficient logistics operations, and accurate financial reporting. Candidates with prior experience in the import, trading, and logistics industries will be highly advantageous.
Responsibilities:
- Create and issue sales orders based on deal confirmations.
- Follow up with customers to ensure signed sales orders are received promptly.
- Enter sales orders into the CRM system and process approvals in SAP.
- Monitor and manage open sales orders to ensure timely completion.
- Record and reconcile daily stock movements across multiple locations.
- Ensure stock alignment with warehouse records through daily reconciliations.
- Coordinate truck bookings with warehouses for customer deliveries.
- Oversee transport and delivery schedules for active contracts.
- Arrange weekly bagging schedules with warehouses and provide updates as needed.
- Manage packaging materials, including tracking, ordering, and monthly reconciliations.
- Prepare commercial and pro-forma invoices for payments and clearance purposes.
- Verify bills of lading (BLs) and other purchase/sales documentation.
- Handle vessel clearing documentation for discharge ports.
- Generate customer invoices and resolve account queries.
- Allocate and reconcile customer account payments.
- Issue monthly debtors` statements and manage debt collection.
- Collect and file zero-rated export documents for SARS compliance.
- Compile and distribute weekly accounts receivable aging reports.
- Maintain updated client FICA documentation.
- Capture and process supplier service and packaging material invoices.
- Prepare monthly local payment runs and assist with supplier payment reconciliations.
- Complete daily bank reconciliation updates and ensure accurate SAP entries.
- Conduct monthly bank account reconciliations.
- Assist with financial reporting, including SATS SA forms and merchanting reconciliations.
- Manage SAP tasks, including order closures, credit limit updates, and client/supplier data maintenance.
- Support travel claim documentation and recognition.
- Assist with credit limit checks and release approvals in SAP.
- Provide audit documentation for internal, external, SARS, and other regulatory audits.
Requirements:
- Diploma or degree in Business Administration, Finance, Supply Chain, or a related field.
- Minimum of 3 years experience in sales administration, logistics, or financial administration roles.
- Proficiency in CRM systems, SAP, and Microsoft Office (Excel).
- Excellent communication, organizational, and time-management skills.
- Knowledge of compliance requirements (SARS, FICA) is advantageous.
- Strong attention to detail and ability to handle complex administrative tasks.
- Ability to multitask and prioritize in a fast-paced environment.
- Proactive problem-solving skills with a focus on process improvement.
- Team player with a customer-centric approach.
