Job Summary
Responsibilities:
Manage and process various administrative duties, including completing forms for risk and investment applications, and handling tasks like new business, switches, redemptions, debit order changes, and client servicing requests. Handle inquiries regarding portfolios, providing timely and accurate responses. Coordinate with product providers to obtain statements, tax certificates, and other essential documents. Prepare and organize meeting files, ensuring all documentation is accurate and complete. Communicate effectively via phone and email with various stakeholders, including internal teams and external providers. Resolve queries proactively and provide high-quality service at all times. Manage and prioritize tasks, ensuring deadlines are met, and handle multiple responsibilities efficiently. Assist with the coordination of company functions, events, and meetings. Support the winding up of estates, ensuring thorough follow-up with relevant parties and keeping all parties updated. Ensure proper storage of documents and maintain accurate records in the companys systems. Key Performance Indicators: Professional Development: Achieve personal milestones and participate actively in training programs to enhance skills and knowledge. Client Service Excellence: Consistently provide excellent service to stakeholders, addressing queries and issues efficiently. Adherence to Deadlines: Ensure tasks are completed on time with a strong focus on accuracy and attention to detail. Operational Efficiency: Follow company processes meticulously, keeping records up to date and completing all administrative tasks in a timely manner.
Requirements:
Educational Qualifications: A relevant qualification in business, finance, or a related field is preferred but not essential. Experience: Previous experience in client services, administration, or a financial services environment is advantageous. IT Skills: Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with CRM or office management systems. Attention to Detail: High level of accuracy and meticulous attention to detail when managing tasks and handling client data. Communication Skills: Excellent verbal and written communication skills, with the ability to interact professionally with clients and internal teams. Organizational Skills: Ability to prioritize tasks, manage multiple responsibilities, and work under pressure while maintaining a high level of accuracy. Client-Focused Attitude: A passion for providing exceptional client service and the ability to go the extra mile to resolve issues. Problem-Solving Skills: Strong decision-making and problem-solving abilities, able to handle queries efficiently and effectively. Time Management: Proven ability to manage time effectively and meet deadlines consistently. Desired Skills & Competencies: Strong interpersonal skills with a high ability to build trusted relationships both internally and externally. Ability to thrive in a team-based environment while also working independently. Proactive in identifying and addressing potential issues before they arise.
