About the Role
Anchora is seeking an organized and highly motivated Administrative Assistant to join our team as a Graphic Design company. The ideal candidate will be responsible for overseeing workflow, coordinating between teams, and ensuring smooth day-to-day operations.
Key Responsibilities
- Permitting coordination: managing documentation and submission processes for signage permits
- Communication management: answering and managing communications responding professionally to emails, phone calls, and WhatsApp messages from clients and partners
- Social media management: maintaining company presence on social platforms, posting content, and handling basic inquiries
- Invoicing and bookkeeping: preparing and sending client invoices as directed, and basic financial tracking and organization
- Artwork support: assisting with organization and coordination of design files
- Job progress tracking: communicating details with designers and installation teams
Requirements
- Highly organized with excellent time management
- Professional English communication skills (written and verbal)
- Strong attention to detail
- Comfortable using email, phone, and messaging platforms like WhatsApp
- Basic financial and bookkeeping familiarity
- Experience in Quickbooks and Google Sheets
- Social media savvy with an understanding of brand tone
- Supportive of creative workflows (file handling, coordination)
- Independent, proactive, and dependable
