The Administrative Assistant supports the State Director by managing administrative processes, intake coordination, recruiting support, provider communications, and family interactions. This role requires excellent communication skills, strong organizational abilities, and a customer-service-oriented mindset. Key Responsibilities Provide direct administrative support to the State Director. Assist with documentation, record management, and reporting. Maintain organized tracking systems, databases, and records. Coordinate internal administrative processes and workflows. Support intake processes and client onboarding activities. Communicate with families and providers regarding documentation and requirements. Track intake progress and follow up on outstanding items. Ensure information is accurate, complete, and properly documented. Assist with recruiting-related administrative activities. Coordinate candidate and provider documentation. Maintain recruiting records and tracking systems. Support scheduling and communication efforts. Serve as a primary point of contact for families and providers. Deliver professional customer service and timely follow-up. Maintain consistent communication across departments. Required Qualifications Minimum 2 years of Administrative Assistant, or similar experience. Excellent verbal and written English communication skills. Strong organizational and multitasking abilities. High attention to detail and accuracy. Ability to work independently and take initiative. Strong customer service and interpersonal skills. Ability to prioritize tasks in a fast-paced environment. Strong work ethic, accountability, and follow-through. Quick learner with the ability to adapt to new systems and processes.
