Job Description

Responsibilities:

– Managing files from inception to registration
– Liaising with clients, banks, estate agents, and the Deeds Office
– Drafting bond and transfer documents
– Preparing lodgement and registration documents
– Attending to FICA compliance and related documentation
– Requesting rates clearance figures and levy clearance certificates
– Obtaining bond cancellation figures and guarantees
– Preparing pro forma accounts and final accounts
– Following up on outstanding conditions and suspensive conditions
– Coordinating signing appointments with clients
– Attending to lodgement, tracking progress, and registration
– Updating clients and stakeholders throughout the process
– Managing post-registration processes and accounts

Minimum Requirements:

– Minimum 3–5 years’ experience as a Conveyancing Secretary
– Experience in both Bonds and Transfers (essential)
– Proficient in conveyancing software (e.g., Lexis Convey, GhostPractice or similar)
– Strong understanding of Deeds Office procedures
– Proficient in MS Word and Outlook
– Excellent verbal and written communication skills
