Job Description

The Administrator / Receptionist will be responsible for managing daily operations, coordinating services, scheduling appointments, and maintaining accurate medical and billing records. The role demands someone who is organized, detail-oriented, and confident in communicating with clients, veterinarians, and service providers. Key Responsibilities Manage reception duties, including answering calls, taking messages, and assisting clients Coordinate and manage vet appointments, including sending vets on calls Handle laboratory samples and ensure proper processing and tracking Arrange travel and transport for horses between provinces Update and maintain accurate medical histories for all horses Dispense over the counter medications under veterinary supervision. Cross-check and prepare accurate billing before invoicing Monitor and ensure vaccines are up to date Liaise directly with veterinarians, clients, and service providers Assist with balancing accounts and preparing financial reports Learn and operate the in-house DOS-based system efficiently Provide exceptional client service and support to the veterinary team Key Attributes Professional, organized, and detail-oriented Strong multitasking and time-management skills Confident communicator with excellent interpersonal abilities Fast learner, adaptable, and willing to take on new challenges Passionate about horses and veterinary care Requirements Tertiary qualification (preferred) Equine knowledge is Non-Negotiable Proficient in Microsoft Excel, Word, and Outlook Willingness to learn the in-house DOS-based system Computer literate and comfortable managing digital records Excellent communication and client service skills Ability to work accurately under pressure Remuneration R15 000 R22 000 per month (depending on experience) Only shortlisted candidates will be contacted
