Job Summary
PURPOSE OF THE ROLE:
- To ensure compliance in the Private Security Sector Provident Fund (PSSPF) by participating employers to the Pension Funds Act of 1956 with specific emphasis to Section 13A.
- To ensure compliance in the National Bargaining Council Private Security Sector (NBCPSS) by all security companies in the industry.
- Inform and ensure that transgressing employers are charged LPI and pay it over to PSSPF or NBCPSS
- To ensure employers who comply with the Act as per above are issued with Compliance Letters for PSSPF and Compliance Certificates for NBCPSS
- To perform inspections as various employers and provide reports to NBCPSS
- To deal with member complaints coming from the NBCPSS and to provide feedback on the complaints
- To keep participating employers up to date with PSSPF and NBCPSS industry information that affects both employers and their employees.
- To create and maintain relationships with all relevant stakeholders i.e. PSIRA, Unions etc.
- To manage the relationship between participating employers and the back office.
- To understand NBCPSS and PSSPF operational requirements and be able to explain to participating employers.
- Be responsible for new employer registration in their designated working regions for both the PSSPF and NBCPSS
- Ensure complete and accurate documents are sent to the back office for registration of new employers
KEY ACTIVITIES
- Investigate employer Non-Compliance with NBCPSS and PSSPF
- Ensure that compliant employers receive compliance certificates for both NBCPSS and PSSPF
- Perform employer inspections as required by the NBCPSS
- Receive and attend to stakeholder complaints and report on outcomes
- Perform PSSPF and NBCPSS awareness and member education for all stakeholders
- Refer all employers requesting AOD arrangements to the Fund and be part of any sessions and outcomes
- Ensure that all new employers are registered with the PSSPF and NBCPSS as per the PSSPF SLA and Main Collective Agreement
Reporting and Admin
- Submit weekly visits and engagements weekly
- Provide a yearly and monthly planner for review
- All travelling requests to be done in line with the year planner. Any urgent requests to be accompanied by motivation.

KPI
- 70% of employers must pay contributions on time and send schedules on time, portfolio of evidence to show effort to ensure objective is met.
- Portfolio of evidence on non-compliant employers and those that have been passed on to the legal team and legal and compliance
- Portfolio of evidence (inspection sheets) of all inspections carried out.
- No outstanding documentation of more than a month for new employer registrations
- Number of new employers registered versus total employers engaged
- Portfolio of evidence submitted to support all work done
- Evidence of engagements with stakeholders
- Employer engagements per month and communication as per required deliverables to employers in your regions or portfolio.
- Portfolio of evidence for all employer engagements
- Evidence of sharing of Fund and NBC information as and when required

Job Summary
The incumbents responsibility is to fulfill the role of a liaison officer between the members of the Fund and the Funds service providers, the functions include but are not limited to:
Host Fund presentations for members, union officials, employers, and other identified stakeholders at approved site.
To ensure end to end service delivery on behalf of members and employers for all queries.
To ensure communication and engagement to employers, members, and stakeholders of the Fund.
To resolve all queries and actively monitor service delivery on the Fund, take appropriate steps to ensure that SLA is delivered.
Responsibilities
Walk in Members
- Receive members and help them with submission of their claims and all queries.
- Ensure that all due diligence is completed in processing the claims and all other queries.
- Check that all claim documents are available: Viz. ID, forms tax numbers etc.Act as a service rep to ensure that all forms are completed fully to ensure timeous payment. Guide the member ito education and completion of all paperwork to prevent come backs. Viz, To Advise member of any outstanding documentation or what will affect the delay of the claim.
- Attend to members and beneficiaries who are submitting and following up on their claims (withdrawal, funeral, disability, death, unclaimed benefits, retirement, trust fund).
- Escalate claims that are outside the service level agreement.
- Assist with all walk in queries to ensure end to end service and delivery eg. Advising members who come to enquire about their membership on their status
- Liaise with various departments/stakeholders wrt member claims eg to the relevant CLO/MCLO for further investigation.
- Provide members with benefit statements, contribution history and quotations where available.
- Educate members on benefits of the fund and process.
- Ensure reporting daily to the manager for consideration and review.
Planning for Travelling
- Complete a yearly travel plan split per month
- To inform all Client Liaison Officers (CLOs) of planned pending trips and to get a list of employers that needed to be visited from CLOs
- To ensure that all administrative tasks relative to the training including full recon, outstanding claims and unallocated contributions have been obtained
- To check with the Agents that the employers to be visited have been registered with the NBC and if not to include in the preparation for the visits
- To escalate all matters arising from the employer meetings/visits to the relevant departments and ensure that they are acted on
Reporting and Admin
- Submit daily and weekly reports including any ad-hoc reports as and when required by business
- All claims and documents to be uploaded and indexed on Everest/EPIC system used by Salt
- To provide reports after every employer visits with challenges and actions required. The report will be provided the following day after coming back from the visit Relationship Management
- Attend to requests from other stakeholders like Member Unions, Employer Unions and PSIRA as and when the requests come in
- Strictly adhere to the rules and policies of the Fund, legislation, administration procedures and service level agreements.
- Maintain and improve quality results by adhering to standards and guidelines; recommend improved procedures.
- Attend internal and external training required. Time Management
- Excellent time management. Flexible and ability to work under pressure and multitask.
Competencies required:
- Matric and Industry knowledge and at least 2 years Industry experience
- Intermediate Excel Skills (Assessment will be done)
- Code 10 drivers license with PDP
