PA Duties: Act as the primary point of contact for both the owners, managing all calls and inquiries. Handle incoming calls, emails and correspondence, ensuring prompt responses or appropriate delegation. Maintain filing systems and ensure documents are organised, up-to-date, and easily accessible. Prepare and edit documents, presentations and reports. Provide support for special projects and ad hoc tasks as required. Administrative Duties: Filing of all service related documents Filing all delivery & collection documentation for all services Emails and telephonic feedback calls Service Calls Manage incoming service calls with all required information (date, time, customer name, contact name, telephone number, address, machine serial and model number, etc.) Ensure that calls are dispatched Ensure technicians are following the Schedules Communicate with clients on status of call / awaiting spares etc. Ensure that constant communication is always maintained with customers regarding machines ready for collection, repairs, response times, awaiting parts, ETAs, etc. Take full responsibility that when clients are given time frames for repairs, deliveries or collections that these are adhered to. Booking out stock, and booking in stock when received from suppliers Qualities: Well presented Well spoken Reliable Committed Innovative Fluent in Afrikaans and English Responsible for opening and closing offices Problem solving Enthusiastic Efficient record keeping hard copy Impeccable email correspondence and telephone etiquette (Written and Verbal Communication) Accuracy is key in all admin functions!
