Job Summary
- Accurately capture and maintain all vehicle stock records in the Dealer Management System (e.g., Automate).
- Bring new and used vehicles into stock promptly, matching delivery documentation with internal systems.
- Manage vehicle stock entries and exits, ensuring accurate records.
- Create purchase orders for vehicle reconditioning and fitments, ensuring each payment has an associated order number.
- Ensure all trade-ins and buy-ins are brought into stock at the correct stand-in value.
- Arrange collection and couriering of Natis documents and spare keys for invoiced vehicles.
- Ensuring vehicles are settled in the required time frame on floorplan after delivery.
Reporting, Documentation & Compliance
- Generate monthly reports on outstanding orders.
- Ensure deal files are complete with all necessary documentation (ID, proof of address, license, etc.) before invoicing.
- Manage licensing and registration documentation, particularly for used vehicles.
- Ensure all documentation complies with clients, OEM, and government regulatory standards.
- Prepare accurate daily, weekly, and monthly stock reports for management.
- Track outstanding orders and work with sales managers to resolve delivery or stock issues.
- Balance vehicle costing on the dealership management system against departmental cost sheets.
- Ensure all required documentation is present in deal files prior to invoicing.
- Compile month-end reports, including used vehicle stock and sales reports.
Registration & Licensing:
- Handle registration and licensing documents for the used vehicle department.
- Ensure compliance with all regulatory requirements.
Collaboration:
- Work closely with Sales Executives and Sales Managers to ensure seamless operations.
- Foster strong working relationships with the sales team, workshop, service providers, and other stakeholders.
Skills Required:
- Strong communication skills in English; proficiency in additional languages is beneficial.
- Excellent interpersonal abilities; capable of working collaboratively with various stakeholders.
- High attention to detail and accuracy.
- Ability to organize, control, and multitask effectively.
- Initiative and problem-solving capabilities.
- Customer-orientated with a commitment to service excellence.
- Proficient in planning, organizing, and monitoring performance against targets.
- Resilience under pressure; able to work productively in a fast-paced environment.
- Team-oriented yet capable of working independently with minimal supervision.
- Ethical, reliable, and self-motivated.
- Willingness to work flexible hours, including weekends and holidays, as required.
- Proficiency in Microsoft Office Suite, especially Excel.
Preferred Qualifications:
- Matric Certificate.
- Minimum of 2-3 years’ experience as a Stock Controller. Experience in the motor vehicle industry will receive preference but not a necessity.
- Experience with dealership management systems such as Automate, Autoline, or Drive; experience with automotive industries systems is advantageous.
