About the Role
The Executive Assistant to the CEO will provide high-level administrative support to our dynamic CEO in Paarl, playing a critical role in ensuring the smooth operation of the business. This is an excellent opportunity for a highly organized and experienced professional to join our team.
Key Responsibilities
• Manage the CEO’s calendar, appointments, and scheduling, ensuring efficient use of time and optimal prioritization.
• Coordinate meetings, conferences, and travel arrangements, including logistics and accommodations.
• Screen, prioritize, and respond to emails, calls, and inquiries on behalf of the CEO.
• Draft, proofread, and edit correspondence, reports, presentations, and other documents as needed.
• Handle sensitive and confidential information with the utmost discretion and professionalism.
• Prepare agendas, materials, and presentations for meetings attended by the CEO.
• Attend meetings, take accurate minutes, and distribute summaries and action items to relevant stakeholders.
• Support the CEO in managing projects, initiatives, and action plans, ensuring timely follow-up and completion.
• Collaborate with cross-functional teams to track progress and maintain project timelines.
• Interact with internal and external stakeholders, including clients, partners, and board members, on behalf of the CEO.
• Organize and maintain files, records, and documents related to the CEO’s activities and responsibilities.
• Manage the CEO’s technology tools, including devices, software, and communication platforms.
• Identify potential risks and develop strategies to mitigate them, ensuring business continuity and resilience.
Requirements
• 3+ years of experience as an Executive Assistant or in a similar role.
• Proven track record of providing high-level administrative support to senior executives.
• Excellent organizational, time management, and prioritization skills.
• Strong communication and interpersonal skills, with the ability to build and maintain positive relationships with stakeholders.
• Proficiency in Microsoft Office Suite and Google Workspace (formerly G Suite).
• Ability to work in a fast-paced environment and adapt to changing priorities.
