(eng= Personal Assistant: Financial & Operational Administrator Role Overview This is a key support role focused on financial administration, payroll, HR support, and operational coordination , ensuring accuracy, compliance, and smooth daily operations. The successful candidate will play an integral role in enabling leadership to focus on strategy, growth, and service excellence. This position requires strong attention to detail, discretion, accountability , and the ability to perform effectively in a high-demand, deadline-driven environment . Position Details Location: Pretoria East Salary: R15,000 R20,000 per month Positions Available: 1 Start Date: 1 March 2026 Working Hours: Monday to Friday 08:00 – 17:00 | One Saturday per month 09:00 – 13:00 Key Responsibilities Financial Support & Payroll Assist with the preparation, processing, and administration of payroll. Ensure salaries are processed accurately and paid on time. Upload payments for release and support salary administration. Manage invoicing, debtors, and creditors, including follow-up on outstanding payments. Support budgeting, monthly cost control, and basic financial reporting. Ensure financial administration aligns with internal procedures and controls. HR & Employee Relations Administration Maintain accurate employee files, contracts, and HR documentation. Administer leave, absenteeism, performance records, and staff data. Ensure compliance with labour legislation and internal policies. Coordinate onboarding and induction processes. Provide administrative support with disciplinary processes and HR communication. Support initiatives that promote a positive and engaged workplace culture . Operational & Administrative Management Provide direct administrative and operational support to senior management. Manage calendars, meetings, appointments, and follow-up actions. Coordinate administrative workflows and track daily operational progress. Assist with process improvements and operational efficiency initiatives. Prepare reports, statistics, and data analysis to support decision-making . Supplier & Contract Administration Coordinate relationships with external service providers. Administer contracts, service level agreements, and delivery follow-ups. Ensure contractual documentation is accurate and up to date. General Administrative Duties Oversee general office administration and daily operational needs. Monitor deadlines and prioritize tasks effectively. Maintain strict confidentiality of sensitive information . Handle reasonable administrative and operational requests as required. Provide support to related departments when needed. Skills & Qualifications Grade 12 / National Senior Certificate. Tertiary qualification in Office or Business Administration (advantageous). 23 years experience in administration, financial administration, and debtors/creditors. Strong organizational and multitasking skills with excellent attention to detail. Excellent communication and interpersonal skills. Proficiency in Microsoft Office (Excel, Word, Outlook). Ability to work under pressure and manage competing priorities. High levels of integrity, discretion, and reliability . Hanteer fakturering, debiteure- en krediteureprosesse, insluitend opvolg van uitstaande betalings. Ondersteun begrotingsvoorbereiding, maandelikse kostebeheer en basiese finansiële verslagdoening. Verseker dat finansiële administrasie in lyn is met interne prosedures en kontroles. HR & Arbeidsverhoudinge Administrasie Hou personeelleêrs, dienskontrakte en HR-dokumentasie volledig en op datum. Administreer verlof, afwesighede, prestasie-aantekeninge en personeeldata. Verseker nakoming van arbeidswetgewing en interne beleide. Koördineer induksie- en aanvangsprosesse vir nuwe werknemers. Verskaf administratiewe ondersteuning tydens dissiplinêre prosesse en interne HR-kommunikasie. Ondersteun inisiatiewe wat n positiewe en betrokke werkskultuur bevorder . Operasionele & Administratiewe Bestuur Verskaf direkte administratiewe en operasionele ondersteuning aan senior bestuur. Bestuur kalenders, vergaderings, afsprake en opvolgaksies. Koördineer administratiewe werkvloei en volg daaglikse operasionele vordering op. Werk saam met bestuur om operasionele doeltreffendheid te verbeter en prosesse te verfyn. Berei verslae, statistieke en data-analise voor ter ondersteuning van besluitneming . Verskaffer- & Kontrakadministrasie Koördineer en administreer verhoudings met eksterne diensverskaffers. Bestuur kontrakte, diensvlak-ooreenkomste en opvolg van aflewerings. Verseker dat kontraktuele dokumentasie akkuraat en op datum is. Algemene Administratiewe Pligte Toesig oor algemene kantooradministrasie en daaglikse operasionele behoeftes. Monitor belangrike sperdatums en prioritiseer take effektief. Handhaaf streng vertroulikheid van sensitiewe inligting . Hanteer ander redelike administratiewe en operasionele versoeke soos benodig. Bied ondersteuning aan verwante afdelings wanneer nodig. Vaardighede & Kwalifikasies Graad 12 / Nasionale Senior Sertifikaat. n Tersiêre kwalifikasie in Kantooradministrasie, Besigheidsadministrasie of n verwante veld (voordelig). 23 jaar se relevante ervaring in administrasie, finansiële administrasie en debiteure/krediteure . Uitstekende organisatoriese en multitasking-vaardighede met sterk aandag aan detail. Uitstekende kommunikasie- en interpersoonlike vaardighede. Vaardigheid in Microsoft Office (veral Excel, Word en Outlook). Vermoë om onder druk te werk en mededingende prioriteite te bestuur. Hoë vlak van integriteit, diskresie en betroubaarheid .
