We’re looking for an Administration Officer to keep our operations running smoothly What you’ll do: Financial administration Process and track all monthly payments, invoices, and purchase orders for TechOps functions, ensuring accuracy and Maintain and reconcile financial records related to all TechOps activities, ensuring alignment with organizational accounting Monitor and manage expense approvals in line with budget guidelines and company policies. Ensure accurate allocation of costs to relevant TechOps areas (e.g., Digital Workplace, Cloud, Security, etc.). Budget management Work closely with TechOps managers to prepare, track, and manage the latest estimate (LE) on a monthly basis. Monitor expenditure against the approved budget, ensuring compliance and flagging variances promptly. Assist in forecasting future expenses and providing input for budget planning cycles. Prepare regular financial reports, summarizing spending trends and providing recommendations for cost optimization. Vendor contract management Liaise with vendors and service providers to process payments, resolve billing disputes, and ensure service agreements are Maintain a repository of all vendor contracts and renewals related to TechOps functions, ensuring timely renewals and compliance with Ensure invoices align with service delivery milestones and contract terms before approving payments. Compliance and reporting Ensure financial records and processes comply with organizational policies, regulatory requirements, and audit standards. Assist with internal and external audits, providing required documentation and reports as needed. Maintain clear documentation of all financial activities for TechOps functions to support audits and compliance reviews. Operational support Collaborate with TechOps leads to ensure smooth financial operations across functions. Maintain an accurate inventory of all assets and licenses related to TechOps functions, ensuring proper financial and compliance Provide administrative support for procurement activities, including preparing and submitting requisitions. Financial skills Strong understanding of accounting principles, financial management, and budget tracking. Proficiency in financial tools, ERP systems (e.g., SAP, Oracle), and Microsoft Excel for data analysis and reporting. Experience in managing budgets, forecasts, and monthly estimates for multiple functions. Organizational skills Excellent attention to detail and organizational abilities to manage multiple financial processes effectively. Strong time management skills with the ability to prioritize tasks and meet deadlines. Communication skills Strong written and verbal communication skills to liaise with vendors, stakeholders, and internal teams. Ability to present financial data and reports clearly to non-financial Your expertise: Minimum of 3–5 years of experience in finance or administrative roles, preferably within IT or technical operations. Familiarity with managing payments, budgets, and vendor contracts in a multi-functional organization is highly desirable. Qualifications required: Grade 12 Bachelor’s degree or diploma in Accounting, Finance, Business Administration, or a related field.
