Job Summary

Responsible for the preparation of journals, subcontractors bundles, and payables bundles. MAIN FUNCTIONS: 1. Debtors 2. Creditors 3. Subcontractors delivery notes 4. General 1. DEBTORS Receive all subcontractor`s invoices with supporting documentation daily and ensure that invoices are date stamped. Bundle of Subcontractor recoveries from Receivables department AT invoices. Ensure that Loadcon number matches sub invoice`s loadcon number Receive receivables invoices back from Receivables department daily. 2. CREDITORS Checking subcontractors` invoices for the correct amount invoiced (as per subcontractors` instruction – loadcon). Compilation of payables bundles per subcontractor for checking by accountant and input on Syspro. Passing on all miscellaneous expenses incurred by subcontractors in relation to claims, diesel, tolls, repairs etc. for invoicing by debtors and recovery of monthly payment. Reconciliation of creditors payments per month. Sending proof of payment to all subcontractors. 3. SUBCONTRACTORS DELIVERY NOTES Follow-up of outstanding subcontractor documentation by phone and email. Handling of all subcontractor inquiries regarding their accounts. Filing of all documentation regarding debtors and creditors of subcontractors. Maintaining the subcontractors register regarding: (a) subcontractors – invoice received (b) subcontractor invoices invoiced. 4. GENERAL Weekly reconciliation of subcontractors who put diesel into Shell account against revenue earned. Handling of all subcontractor inquiries regarding their accounts. Filing of all documentation regarding debtors and creditors of subcontractors. Checking entries on creditors system and batch entries (Syspro). Request and follow up on information as required for BEE Verification. Monthly recon of Subcontractor loan accounts on Ledger/ Syspro- journals written for correction. FILING Filing of all documentation and printouts – payables bundles, cash books, petty cash, and month-end Filing of journals. Filing of monthly documentation as requested by Management.
