Job Description
- Grade 12 | Code 10 driver’s licence.
- 2–3 years’ experience in truck rental and administration.
Skills:
- Administrative procedures and form completion.
- Hazard identification and resolution | Microsoft Office proficiency.
- Planning and organisational skills | Customer service management.
- Report writing and document handling | Decision-making.
- Company SOPs | Fleet management practices | Vehicle inspection processes.
- Report writing | Customer service standards | ISO 9001 processes.
Key Responsibilities:
- Fleet Management
- Maintain electronic databases of KM, registration, daily inspections, and maintenance.
- Schedule and book services with the workshop.
- Forecast and plan fleet availability to meet operational needs.
- Manage accidents documentation and liaise with internal insurance.
- Oversee vehicle licensing, tags, and renewals.
- Ensure compliance with Road Traffic Acts and regulations.
- Monitor and reconcile fuel consumption and Fuel Card expenses.
- Implement operational standards and best practices.
- Manage R&M costs, validate job cards, and ensure correct pricing.
- Conduct accident investigation meetings with drivers.
- Manage abuse cost recovery.
- Conduct vehicle in/out inspections and maintain inspection books.
- Stand in for site supervisors when required.
- Manage wash bay inspections and stock.
- Handle breakdowns (including standby after hours).
- Inspect bowzers and manage diesel receiving.
- Maintenance | Maintain vehicles in roadworthy condition.
- Minimize downtime through strict service scheduling.
- Negotiate repair schedules with workshops and panel shops.
- Maximize vehicle availability to operations.
- Reports & Record Keeping | Weekly kilometres update.
- Maintain vehicle/trailer asset register.
- Prepare reports: fuel consumption, fleet utilisation, availability, inspections, maintenance, driver training, driver assessments, PDP/licensing, COF, weekly costs, H&S inspections.
- Maintain Vehicle Key Register | Check daily debriefs.
- Driver Management | Monitor and manage driver behaviour.
- Report poor driving practices that impact fleet costs.
- Update driver scorecards (speeding, braking, erratic driving).
Additional Duties:
- Perform duties beyond the listed tasks as instructed by management.
- Assist in different departments/shifts if required.
- Support Truck Rental & Express operations when needed.
- Stand in for supervisors during leave or absence.
- Carry out additional tasks aligned with organizational objectives.
