About the Role
You will be responsible for managing all front-of-house operations while providing comprehensive administrative and clinical support to the medical team. The role involves patient interaction, appointment coordination, document management, and billing processes. Accuracy, confidentiality, and attention to detail are essential, as the role supports both consulting and theatre-related activities.
Key Responsibilities
- Manage the front office in a professional and courteous manner
- Maintain a neat, organised, and welcoming reception area
- Handle all incoming calls, bookings, and patient inquiries
- Manage appointment scheduling for multiple practitioners, including joint bookings
- Ensure all reports and doctors’ correspondence are received prior to consultations
- Load patient notes onto doctors’ devices ahead of appointments
- Take patient measurements to calculate BMI for specific consultations
- Liaise with external medical offices regarding bookings and information
- Process payments and issue receipts following consultations
- Schedule follow-up and post-operative appointments in advance
- Create, update, and maintain accurate patient files on internal systems
- Prepare consultation notes and supporting documentation for practitioners
- Perform filing, scanning, and uploading of all patient documentation
- Manage incoming email correspondence and typed communications
- Assist practitioners during in-room clinical procedures when required
- Prepare daily consulting schedules and manage theatre-related logistics
- Support practice management functions when required, including invoicing and bookings
- Manage office supplies, billing updates, and general front office administration
